How We Store Your Personal Data

1. General Information

1.1 aida is the data controller for the processing of the personal data we have received about you. This privacy policy explains how aida A/S (aida, we, us, our) collects and processes personal data when you interact with us. This applies to situations such as purchasing products, contacting customer service, subscribing to newsletters, using our website, and other similar instances where you provide your personal data to us.

2. Purpose of Data Collection, Types of Data Collected, and Legal Basis

2.1 When You Shop With Us

2.1.1 In order to fulfil our part of a purchase agreement—such as delivering your ordered products, handling returns or complaints, or contacting you if necessary—we collect various personal data when you make a purchase on aida.dk, aidadenmark.com, forhandler.aida.dk or dealer.aida.dk.

2.1.2 We collect your name, address, phone number, email address, payment method, delivery method, IP address used to place the order, and information about which products you purchased, returned, complained about or enquired about.

2.1.3 The legal basis for this processing is Article 6(1)(b) of the General Data Protection Regulation (GDPR) in relation to the purchase agreement, Article 6(1)(c) regarding our legal obligations concerning withdrawals and bookkeeping, and Article 6(1)(f) concerning our legitimate interest in fraud prevention.

2.1.4 We retain your personal data for up to five years, after which it is deleted.

2.1.5 Information provided through the webshop is never disclosed or sold to third parties, and we do not register any sensitive personal data.

2.2 When You Subscribe to Our Newsletter

2.2.1 We distinguish between newsletters for B2C and B2B customers. In both cases, the purpose is to market aida A/S and maintain our legitimate interest in sending you newsletters electronically.

2.2.2 If you are a B2B customer, we collect your company name, the contact person’s name, email address, and phone number.

2.2.3 If you are a B2C customer, we collect your name, email address, phone number, and date of birth.

2.2.4 The legal basis for this processing is your consent to receive our newsletter, as per GDPR Article 6(1)(a).

2.2.5 We use Klaviyo, located in Northern Virginia, USA, to manage our newsletters. Therefore, your personal data may be transferred outside the EU. Klaviyo does not sell your data to third parties. You can read more about Klaviyo’s data practices here.

2.3 When You Visit Our Head Office

2.3.1 Video surveillance may be in use. If so, this will be clearly indicated by camera signs at the monitored areas. Recordings are reviewed in cases of spot checks, specific suspicions or other irregularities, and may be handed over to the police if a criminal offence is suspected. The purpose is to prevent, detect, and document crimes involving visitors or employees, such as theft, robbery, fraud, or assault, and to ensure a safe and secure environment for our staff.

2.3.2 The legal basis is GDPR Article 6(1)(f), as aida has a legitimate interest in preventing the types of criminal activity mentioned above at our headquarters.

2.4 When You Visit Our Social Media Profiles (Facebook, Instagram, LinkedIn, YouTube, and TikTok)

2.4.1 We may process information you make available to us on our social media profiles, such as reactions to our posts, comments, or other interactions. The purpose is to promote aida, respond to messages, and manage competitions, including contacting you if you win. When we collect your personal data through these platforms, it is for our own use. These platforms may also process your data to improve their advertising systems, as described in their own privacy policies: Meta (Facebook & Instagram), Google/YouTube, LinkedIn, and TikTok.

2.4.2 The legal basis is our legitimate interest in marketing aida, responding to your enquiries, or contacting you regarding a competition you have entered (GDPR Article 6(1)(f)).

2.5 When You Apply for a Job

2.5.1 When you submit a job application, we process and store the data you provide to assess your suitability for the role and respond to your application.

2.5.2 We process data such as your name, contact details, and information contained in your CV and cover letter.

2.5.3 The legal basis is GDPR Article 6(1)(b) and Section 12(2) of the Danish Data Protection Act.

2.5.4 We retain your personal data for as long as the recruitment process is ongoing. If your application is unsuccessful, we may store it for up to six months for potential future recruitment.

2.6 When You Use Our Website

2.6.1 When visiting aida.dk, aidadenmark.com, forhandler.aida.dk or dealer.aida.dk, we automatically process data about you and your use of the website. This includes search queries, the browser you use, your IP address, and details about the device (computer, phone, tablet) you use to visit the site. The purpose is to improve the user experience and collect statistics to personalise our marketing—both on our site and via Meta and Google platforms—if you have consented to marketing cookies.

2.6.2 The legal basis is your consent to our use of cookies (GDPR Article 6(1)(a)) and our legitimate interest in improving our website and tailoring our marketing (GDPR Article 6(1)(f)).

Under the General Data Protection Regulation, you have several rights concerning the way we process your personal data.

Right of Access: You are entitled to access the data we hold about you.

Right to Rectification: You have the right to have inaccurate information corrected.

Right to Erasure: In certain cases, you may request that we delete your data before our standard deletion timeframe.

Right to Restriction of Processing: You may request that we restrict the processing of your data in specific cases. If so, we may only store your data and not otherwise process it unless with your consent or for the establishment, exercise, or defence of legal claims, or to protect another person or important public interest.

Right to Object: You have the right to object to our lawful processing of your data, including for direct marketing purposes.

Right to Data Portability: You may request to receive your data in a structured, commonly used, machine-readable format and have it transferred to another controller.
